Data Processing Addendum (DPA) – Enterprise Clients

This Data Processing Addendum (“DPA”) supplements any agreement between Hotelligent AI Solutions Private Limited and its enterprise clients using the platform for guest interactions

3.1 Scope

This DPA applies where we process personal data on behalf of the client (e.g., guest name, room number, service request data) as a data processor, and the client is the data controller.

3.2 Purpose

Data is processed solely to provide:

• AI concierge responses (via voice/chat)
• Task dispatching via CrewRadio
• Room status signaling via Inklogic
• Menu-based ordering via MoM Integration
• Service analytics and satisfaction reports

3.3 Data Security

We implement:

• Encryption of data in transit and at rest
• Role-based access control
• Secure hosting and API management

3.4 Sub-processors

We may engage secure sub-processors (e.g., hosting, AI APIs) with similar obligations. Clients will be notified of material changes.

3.5 Data Retention

Data is retained only as long as necessary for the intended purpose or contractual duration.

3.6 International Transfers

Data may be transferred outside India where sub-processors are located, in compliance with applicable data laws.

3.7 Data Subject Rights

We will assist clients in fulfilling user rights like:

• Access, correction, deletion
• Objections or restriction to processing

3.8 Breach Notification

In case of data breach, Hotelligent AI will notify affected clients without undue delay and provide incident details and remediation.

3.9 Termination

Upon contract end, all guest data will be deleted unless otherwise required by law.
